Review pending contacts
When Contact Finder or the browser extension turns up a contact it cannot place with confidence, the workspace holds it as pending instead of adding it straight to your records. Two situations trigger this: the contact’s email already belongs to a contact on another account, or the company it belongs to matched more than one account in your workspace. The Manage pending contacts view is where you confirm or discard those contacts so the rest of your data stays clean.
This view is hidden for read-only members. If you do not see the entry point described below, you have view-only access and cannot approve or dismiss pending contacts.
Before you start
Section titled “Before you start”There is nothing to set up. Pending contacts appear here on their own as Contact Finder runs and as contacts are captured from the extension. If the count is zero, there is nothing waiting for review.
- Open Contacts from the left navigation.
- At the top of the Contacts list, select Manage pending. The button shows the number of contacts waiting in parentheses, for example “Manage pending (4)”. This opens the Manage pending contacts view.
- The view has two tabs, each with its own count:
- Contact finder holds contacts whose email already exists on a contact in another account.
- Account approval needed holds contacts whose company matched more than one account, so the workspace could not tell which account to use.
Contact finder tab
Section titled “Contact finder tab”This tab opens with the note “We found a duplicate contact”. Each row is a contact Contact Finder turned up whose email already exists on a contact in another account in your workspace. Use the search box to find a specific contact by name.
- Tick the checkbox on one or more rows. Two actions appear:
- Approve keeps the contact and adds it to your records.
- Dismiss discards the contact.
- To keep the selected contacts, select Approve. A confirmation shows how many contacts you selected. Select Approve in the dialog to confirm, or Cancel to back out. To approve everything, select all rows first, then Approve.
- To discard the selected contacts, select Dismiss. A confirmation asks you to confirm removing the pending contacts. Select Dismiss to confirm, or Cancel to back out. Dismissing deletes the pending contact only; the account it was attached to is left untouched.
Account approval needed tab
Section titled “Account approval needed tab”This tab opens with the note “We could not tell which account to use”. These contacts were captured while browsing LinkedIn or added manually, but the company matched more than one account in your workspace, so the workspace paused rather than guess. The suggested best match is the account that already has the most contacts. Each row shows the contact’s name, company, and source.
- To place one contact, select Choose account on its row. A dialog titled “Select account for [contact] to be added to” lists the matching accounts. Select the correct account, then select Update. The contact is added to that account. Select Cancel to back out.
- To place several contacts at once, tick their checkboxes and select Add to best match. A confirmation shows how many contacts you selected. Select Approve to confirm. Each selected contact is added to its suggested best match, the account that already has the most contacts.
- To discard contacts on this tab, tick their checkboxes and select Dismiss, then confirm. As on the other tab, this deletes the pending contact and leaves the matched accounts untouched.
What happens next
Section titled “What happens next”Approving a contact (whether through Approve, Add to best match, or Choose account then Update) turns it into a real contact on the chosen account and removes it from the pending list. If that contact’s account was itself still pending, approving promotes the account to a real account as well. The approved contact is then queued to sync to your connected system, so it can show up there shortly after. You will see a confirmation showing how many contacts were approved or that the account was updated.
Dismissed contacts disappear from the pending list immediately and are not added anywhere. The accounts they were attached to are unchanged.
Each tab’s count drops as you clear items, and the Manage pending count on the Contacts list falls to match. When both tabs reach zero, there is nothing left to review.
